Authorization Requirement Setup, via Customer Contract Authorization

Authorization requirements must first be set up by linking the Customer Contract to a Third Party Work Order. The below examples outline how to set up authorization requirements for Third Party Work for P/N Categories and Non-Routine Task Cards.

1. Require Authorization for P/N

2. Require Authorization for N/R

1. Require Authorization for P/N:

When a Requisition for parts exceeding the Max Material Cost is created for the Third Party Work Order, the Third Party Work Order Authorization flag will appear on the Requisition Detail. The Requisition can only be authorized after the associated 3rd Party W/O has been authorized and accepted.

If the total cost of the serialized parts that are requisitioned surpasses the Max Material Cost, then Third Party W/O authorization will be required. If the total costs for the serialized parts do not exceed the Max Material Cost, then Third Party W/O authorization is not required.

In the following example, the 'Require Authorization For Serialized P/N' checkbox is selected in the Customer Contract. A Max Material Cost is specified.

Auth1

Note: This Authorization Requirement setup can be applied to all P/N Category types, including Repairable, Serialized, Consumable, and Kits. Each of these 'Order Types' are mapped to a P/N Category transaction code.

From the P/N Master, Costing tab, notice that the following part has an Average Cost that exceeds the contract's Max Material Cost.

Auth2

A Third Party Work Order is then created and the Customer Contract is linked to the TPWO.

Auth3

A Requisition is created for the above Third Party Work Order.

Auth4

Note: Theses Authorizations are triggered only when the Requisition is created for the Third Party W/O through the Requisition/Update/Requisition window or through the Requisition button of the Inventory/Query/Inventory Query window. (This functionality does not work with Picklists.)

The above part is entered in the Requisition Detail. Once saved, the 'TPW Auth: PENDING' text appears in red above the P/N field. This means that the Third Party Work Order must first be authorized before the Requisition can be authorized. This text and authorization requirement is only in effect because this part is serialized and the cost of the Requisition (based on the Average Cost of the part) surpasses the Max Material Cost, as specified in the Customer Contract above.

Note: If the Average Cost of the part is lower than the Max Material Cost, but the total cost of the Requisition exceeds the Max Material Cost due to the quantity of the part being requisitioned, then the 3rd Party W/O authorization will be required.

From the Requisition Authorization window, the Requisition cannot be authorized until the Third Party Work Order has been Authorized.

Note: This functionality is only available when Requisition switch REQAUTHREL is set to Yes. For more information refer to switch REQAUTHREL in the Requisition Switches Manual.

From the Customer Authorization window, notice that the Third Party Work Order is Pending Authorization.

The 3rd Party W/O is then authorized.

When the user returns to the Requisition Authorization window, the Third Party Work Order Authorization is accepted (TPW Auth: ACCEPTED). The user can now authorize the Requisition.

The Accepted radio button is selected and saved.

2. Require Authorization For N/R:

The setup for authorization requirements for labor against a Non-Routine Task Card is similar to the set up for authorization requirements for parts. If the labor hours required for the W/O Non-Routine Task Card exceeds the contract's Max Hours, the system will flag the W/O Non-Routine Task Card window to inform the user that the 3rd Party Work Order must first be authorized before work can be started.

In the following example, the 'Require Authorization for N/R' option is selected and a Max Hours is specified.

A Third Party W/O is then created and linked to the contract.

A Non-Routine Task Card is created with Man Hour requirements that exceed the Max Hours of the contract above.

Once these man hours have been saved against the Non-Routine Task Card, the 'TPW Auth: PENDING' flag appears in red text.

Because the N/R T/C is pending authorization, the Non-Routine Task Card must first be authorized before work can be started.

When a user attempts to start work on the W/O T/C, the following warning in the W/O Task Card Work In Progress window prevents them from starting. The 3rd Party W/O must first be authorized.

From the Customer Authorization window, the 3rd Party W/O is accepted and saved.

Once authorized, the N/R T/C can be started from the W/O Task Card Work In Progress window.
