Entering a New Invoice

If an Invoice has been entered and posted for a Loan Order, but the Loan Order is then converted to a Purchase Order through the Loan P/O button, then the Line Item at the Order level will be re-opened and an Invoice can be entered for the Purchase Order with the Journal Entry of the Loan Order being reversed after these actions have been completed.

All invoices transmitted to TRAX through the InvoiceWorks interface will contain a pre-existing image file inserted through the InvoiceWorks XML file that will be inserted through a specified path.

Invoice Header, General Tab

Customs: This category is used to invoice the work performed by third party brokers who clear international orders through customs. When selected, the Select Customs Number field becomes available (below) which allows users to link the invoice to a closed Customs record. This Customs record is previously linked to orders through the Airway Bill. For detailed information refer to the Customs window of the Orders Training Manual.

Select Customs Number: This field links the Invoice to a Customs record. This Customs record is linked to one or more orders through the Airway Bill. The Customs functionality is used to track the work performed by third party brokers who clear international orders through customs.

Invoice Order Detail

Tax Incentive field: When this checkbox is selected, the Tax Incentive number is applied to the Invoice. The Tax Incentive is a federal number given to certain ordered parts that are eligible for said tax incentives. This functionality is only applicable for certain TRAX customers and varies depending on governmental procedures.

Inventory Order Selection: If one user attempts to edit an Invoice Order record that is currently being edited/viewed by another user, a warning will prevent the second user from editing the same Invoice Order. To unlock the Invoice Order, the secondary user who has locked it will need to exit the record.

Multi Invoice Posting

The Multi Invoice Posting window allows users to post multiple invoices at the same time, all from one dynamic window. For companies that manage a number of invoices, this functionality will help to make the invoicing process more cost and time efficient than in previous version of TRAX.
